2012 Exhibitor Information

Thank you for your interest in serving as an exhibitor at the NSTMC 2012! We believe the exhibit area is an important resource for conferees and appreciate your role in providing opportunities, information and services to those who attend. Below you will find information regarding this year's conference exhibit area. Registrations are accepted until the space is filled. There are a limited number of exhibitors allowed. Register Here

What's Included?

Fully paid exhibitors will be provided with:

1. Immediate listing on the NSTMC website with a live link to your company

2. Exhibit space and one paid registrant to the conference (additional staff can be registered at a reduced rate)

3. Ad space within the conference notebook (details below)

Additional opportunities for sponsorship include:

Conference Notebook Sponsorship: $750.00 Full page back advertisement on conference notebooks with front pocket flyer placement

Dessert and Coffee Sponsorship: $300 per session (2 sessions planned) with recognition by conference staff during the Plenary session

Meal Sponsorship: $1000.00 (3 meals planned) - this will also provide a 2 minute platform in one of the Plenary sessions

Give-aways are also welcome and will provide you additional recognition by our staff during the Plenary sessions

Set-Up

Booth set-up is scheduled between 4:00pm - 6:00pm on Thursday, January 26, 2012. Please check in with the event registration table situated at Casas Church in Cholla Youth building. Volunteers will be available to answer any questions.


Exhibitors Meeting

There will be a brief exhibitors meeting at 4:10pm on Thursday. This meeting will provide general information about the exhibit area.


Exhibit Tables

Each exhibitor will have one table (6 or 8 foot), which will not be skirted or draped. We ask each exhibitor to provide a black table drape (colored runners/logos can be additionally used). We anticipate having room for displays to be set up adjacent to tables, but we would appreciate your cooperation and flexibility with NSTMC staff during set up.


Electricity

Each exhibitor may be provided with one outlet, subject to availability. Outlets will be given on a first come, first served basis, according to availability and outlet placement. Each Exhibitor will need to bring your own good quality extension cord and power strips.


Packages/Shipping

If you need to mail items for the conference, we highly recommend coordinating with your hotel for receipt of packages. It is not our intent to have a mechanism for receipt or shipping of packages at our host church property. For unusual situations please contact us at info@nstmc.org and we will try to help work through your situation. Due to our venue, exhibitors will be responsible for packing, labeling, and shipping of all incoming and outgoing materials. The NSTMC assumes no responsibility for storage or shipping of materials and will not have the ability to receive or ship packages. You should carry them with you as luggage or plan to ship them to your hotel or an alternative site. Thanks for your understanding.

General & Advertising Policies

  • Exhibitors will pay a fee for booth space and to be listed in the conference program.
  • Exhibitors are allowed 1 free registration for a fully paid exhibit booth registration. Additional staff will require registration but at a reduced rate.
  • Exhibitors may offer material to be given away at the conference in order to have their name or product mentioned during the plenary sessions. These materials should be brought to the NSTMC on Thursday at check-in to be logged and used for giveaways.
  • You may elect to be a sponsor of NSTMC 2012 (i.e. conference notebooks, coffee break, meals, etc.). See above for pricing and details. After registering, email us at info@nstmc.org if you desire this additional recognition and advertising opportunity.
  • We will print an advertisement for you in the conference program. It is expected that this will likely be a 1/2 page size. Information must be received no later than Friday, December 7, 2011, to be included in the program. Please provide a minimum of 300dpi graphic in a .jpg, .png or .bmp format no larger than 4x7 inches in landscape orientation.
  • Exhibitors may opt to have their name, contact information and web-link on the NSTMC web site. Your information should be forwarded to info@nstmc.org.
  • The conference mailing list is not used for commercial purposes. You may collect information from interested persons signing up at your conference exhibit based on their preferences.
  • Exhibitors are not to sell books at their booths that are available at the approved bookstore table (permission to sell books and materials is possible but must be approved prior to the conference, or negotiated with our approved bookstore vendor. NSTMC will not be responsible for sales, refunds or any possible taxes).
